Conditions of use of BELEXPO

1. Purpose

1.1.  These General Terms and Conditions of Sale (the "General Terms and Conditions of Sale") are applicable to:

- any purchase of one or more tickets, made by any natural or legal person (the "Customer"), online on the website or on site via the electronic terminal located at the exhibition entrance,

- a visit to the Bel Expo exhibition organised by Brussels Environment, a public interest organisation with its registered office at Avenue du Port 86/C, 1000 Brussels and registered with the Crossroads Bank for Enterprises under number 0236.916.956 ("Brussels Environment").

1.2.  The General Terms and Conditions of Sale define the contractual relationship between Brussels Environment and the Customer, as well as the conditions applicable to any ticket purchase made, whether the Customer is a professional or a direct consumer.

1.3.  The purchase of a ticket implies unreserved acceptance by the Customer of the General Terms and Conditions of Sale.

1.4.  The General Terms and Conditions of Sale prevail over any other general or specific terms and conditions not expressly approved by Brussels Environment. The General Terms and Conditions of Sale applicable are those in force on the website on the ticket purchase date. Brussels Environment reserves the right to adapt or modify the General Terms and Conditions of Sale at any time, in accordance with the regulations in force.

2. Admission fees

2.1 The prices of tickets displayed on the website or the electronic terminal are indicated in euros, inclusive of all taxes, excluding any processing and delivery costs.

2.2  Brussels Environment reserves the right to adjust its prices at any time. Nevertheless, the prices applicable to the purchase are those in force at the time the purchase is confirmed.

3. Terms and conditions of purchase

3.1  Purchase methods

3.1.1 The Customer chooses the number of tickets they wish to purchase, the day and the time of the visit, depending on availability. 

3.1.2 Visits must be booked online.

3.1.3 The available timeslots are indicated on the website. Some slots may be unavailable.

3.1.4 An order summary is displayed on the website or the electronic terminal, which specifies whether payment is due.

3.2  Acceptance of the General Terms and Conditions of Sale

By clicking on "Validate" at the end of the ordering process on the website or via the electronic terminal and by ticking the box "I accept the General Terms and Conditions of Sale", the Customer declares that they have read and accepted, without reservation, the General Terms and Conditions of Sale in their entirety.

3.3   Online payment methods

3.3.1 Online payment can only be made by bank or credit card (Visa, Mastercard, Bancontact or Maestro) on the website.

 3.3.2 After verification of the order and acceptance of the General Terms and Conditions of Sale under the conditions referred to above, the Customer is redirected to a secure payment server where they can pay by entering their bank or credit card details, which include the number and expiry date of the bank card as well as the 3 digits on the back of the card. 

3.3.3 The purchase is complete when the Customer has accepted the General Terms and Conditions of Sale and confirmed payment.

3.3.4 The Customer's bank account is debited with the amount of the order, as soon as the transaction is validated. A printable proof of payment is sent to the Customer on completion of the transaction.

3.3.5 If the payment is rejected by the payment centre, the purchase transaction is automatically cancelled.

3.3.6 Once the order has been placed, the Customer will receive an email confirming the purchase. This email is not an admission ticket. It can be used as proof of purchase of the ticket, which will be issued in accordance with the conditions set out in Article 4.2 "Issue of Tickets".

3.4   Payment methods on site

3.4.1 Payment on site is only possible by bank or credit card (Visa, Mastercard, Bancontact or Maestro) via the electronic terminal located at the exhibition entrance.

3.4.2 After verification of the order and acceptance of the General Terms and Conditions of Sale under the conditions referred to above, the Customer is redirected to a secure payment server where they can pay for their tickets by inserting a bank or credit card into the bank terminal provided for this purpose. 

3.4.3 The purchase is complete when the Customer has accepted the General Terms and Conditions of Sale and confirmed payment.

3.4.4 The Customer's bank account is debited with the amount of the order, as soon as the transaction is validated. On completion of the transaction, the electronic terminal issues a proof of payment to the Customer. 

3.4.5   If the payment is rejected by the payment centre, the purchase transaction is automatically cancelled.

3.4.6 Once the order has been placed, the electronic terminal issues the ticket to the Customer.

4.  Tickets

4.1    Ticket use 

The ticket is only valid for a visit to the exhibition on the date and during the timeslot indicated on the ticket.

4.2   Issuing of tickets

 4.2.1 The ticket is issued immediately by the electronic terminal when tickets are purchased on site. 

4.2.2 Printing the confirmation page or the email sent by Brussels Environment to the Customer in the event of an online purchase does not constitute a ticket. This document cannot be used as a ticket or to gain access to the exhibition. 

4.2.3 The Customer chooses the method of ticket delivery for each online purchase. They may choose between (i) a print-at-home ticket ("E-Ticket"), or (ii) a ticket that can be downloaded to a mobile phone ("M-Ticket").

a. 1. Print-at-home ticket

Print-at-home tickets are available and can be printed by the Customer up to the date of the visit booked by the Customer by opening the PDF file attached to the confirmation email. To be valid, the E-Ticket must be printed in one (1) copy on white A4 paper, blank on both sides, from an inkjet or laser printer. No other medium, such as electronic media, is accepted.

Each ticket has a QR code that allows access to the exhibition.

Printed tickets must be of an acceptable quality. Partially printed, soiled, damaged or illegible tickets will not be accepted and will be considered invalid. Poor quality printed tickets should be reprinted.

a.2. A ticket that can be downloaded on a mobile phone

The M-Ticket contains:

  a unique QR code allowing access to the exhibition;

  the date and time of the exhibition visit.

They must be able to be viewed properly. Damaged phones (cracked, broken, scratched screens, etc.) that render the QR code on the tickets illegible will not be accepted and will be considered invalid. Brussels Environment cannot be held responsible for any malfunction linked to a compatibility problem between the M-Ticket and the Customer's computer system. 

4.3  Refund and exchange

 4.3.1 The ticket cannot be exchanged or refunded, even in the event of no-show or delay (for whatever reason), loss or theft.

4.3.2 Brussels Environment cannot be held responsible in the event of force majeure disrupting the visit to the exhibition and, if necessary, leading to its total or partial closure. If, for reasons of force majeure, Brussels Environment has to restrict or refuse access to the exhibition or to a substantial part of it, the ticket price will not be refunded.

5.  Exhibition admission conditions

5.1  Arrival and organisation of the visit

5.1.1 The Customer must present their ticket for inspection at the entrance to the exhibition no later than at the time indicated on the ticket. Access is on a first-come, first-served basis for Customers with a ticket for the current timeslot.

5.1.2 In the event of late arrival, the late Customer will only be admitted if the maximum number of Customers in the next timeslot has not been reached. A late Customer may be admitted to the exhibition depending on the number of visitors, priority being given to Customers who have arrived on time.

5.1.3 Once a visitor has left the exhibition, they may not re-enter with the same ticket.

5.2   Ticket checks

5.2.1 Only tickets issued in accordance with Article 4.2 "Issuing of Tickets" are valid for access to the exhibition.

5.2.2 All tickets are routinely checked at the entrance to the exhibition 5.2.3 Customers should not discard their tickets, as they may be requested at any time.

5.3   Restriction of access

5.3.1 It is forbidden to enter the exhibition with:

  • dangerous, explosive, flammable or corrosive substances;

  • handbags and backpacks;

  • any item which, due to its purpose or characteristics, presents a risk to the safety of persons, the exhibition or its installations;

  • any excessively heavy, bulky or smelly item;

  • weapons and ammunition;

  • umbrellas unless they can be contained folded in a garment;

  • beverages or food.

5.3.2 Brussels Environment reserves the right to refuse access to the exhibition to Customers who display aggressive, hostile or agitated behaviour likely to breach the peace, threaten the safety of the public and staff, or contravene public decency.

5.3.3 Brussels Environment reserves the right to refuse access to the exhibition to Customers who are clearly under the influence of alcohol or illegal substances.

5.3.4  Animals are not allowed in the exhibition, with the exception of assistance dogs.

5.4.2       The exhibition is closed to the public on the following days:

  • Ascension Day

  • Whit Sunday and Monday

6.  Cloakrooms

6.1 Cloakrooms are provided free of charge for Customers to deposit clothing, walking sticks, umbrellas, luggage, bags, etc. Any large bag or object must be left in the cloakroom.

6.2 Upon arrival, school groups must deposit their belongings in the trolleys provided.

6.3 For security reasons, acceptance of a bag or luggage at the cloakroom may be conditional on the Customer opening the bag or luggage. The reception staff may refuse objects deemed incompatible with the safety or smooth running of the exhibition.

6.4 Reception staff will accept items in line with the size and capacity of the cloakroom. 

6.5 Brussels Environment accepts no liability in the event of loss, theft or damage to an item left in the cloakroom.

6.6 Any item left in the cloakroom must be removed on leaving the exhibition and, in any case, on the same day before the exhibition closes.

6.7 Items found in the exhibition and items left in the cloakroom that have not been retrieved are kept for a period of one year. If they are not claimed by the end of this period, they are donated to charity.

6.8 Perishable foodstuffs are disposed of each evening after closing time.

6.9 Closed luggage or packages left in the exhibition or cloakrooms which appear to present a security risk may be destroyed without delay or notice by the security services.

7.   Using the digital wristband

7.1 Each Customer receives a connected digital wristband, i.e. containing identification information that the Customer has freely provided.

7.2 Customers receive their digital wristband from the reception staff who activate them before entering the exhibition.

7.3 Customers are asked to wear their electronic wristband throughout the exhibition. At the entrance to each section of the exhibition, Customers report their presence via the wristband and receive the interactive instructions specific to that section.

7.4 The results of the challenges completed by the Customers are recorded by the digital wristband and their results are sent by email in a secure manner. This e-mail also gives them access to the private area of the BELEXPO website.

7.5 At the end of the exhibition, Customers leave their electronic wristbands in the areas provided. If a wristband has not been returned, a bell will ring to alert the reception staff and the Customer will be asked to return it.

8.  General Customer behaviour

8.1 Customers shall ensure that the exhibition areas are kept in a clean and tidy condition. Smoking in the exhibition, bringing food or beverages into the exhibition and discarding papers, rubbish or chewing gum are forbidden.

8.2 Customers shall ensure that their behaviour does not pose a danger to the exhibition staff or to other Customers and does not damage the facilities or impair the proper conditions for visiting the exhibition.

8.3 Customers are obliged to comply with the instructions given to them by the exhibition staff.

8.4 Customers who notice damage to the exhibition or problems with the exhibits are asked to report this to the exhibition staff.

8.5 Customers are responsible for any damage they cause to the exhibition and the exhibits.

9.  Camera surveillance

8.1 Customers shall ensure that the exhibition areas are kept in a clean and tidy condition. Smoking in the exhibition, bringing food or beverages into the exhibition and discarding papers, rubbish or chewing gum are forbidden.

8.2 Customers shall ensure that their behaviour does not pose a danger to the exhibition staff or to other Customers and does not damage the facilities or impair the proper conditions for visiting the exhibition.

8.3 Customers are obliged to comply with the instructions given to them by the exhibition staff.

8.4 Customers who notice damage to the exhibition or problems with the exhibits are asked to report this to the exhibition staff.

8.5 Customers are responsible for any damage they cause to the exhibition and the exhibits.

10.  Emergency guidelines

When the alarms are triggered, Customers must leave the exhibition and the building following the "normal exit" or "emergency exit" pictograms and taking into account the specific instructions given by the evacuation team.

11.  Responsibility

11.1 Customers visit the exhibition under their sole responsibility.

11.2  Brussels Environment does not accept liability in the event of theft (pickpockets or other), loss or damage to personal property or in the event of accidents occurring in or around the exhibition.

11.3  Brussels Environment shall not be held liable if the total or partial non-performance or poor performance of its obligations under the General Terms and Conditions of Sale is attributable (i) to the Customer, or (ii) to the unforeseeable and insurmountable act of a third party unrelated to the provision of the services provided for in the General Terms and Conditions of Sale or (iii) to a case of force majeure.

11.4 The ticket purchase site is accessible 7 days a week and 24 hours a day, subject to being taken offline for maintenance or repair or in the event of force majeure or any other event beyond the control of Brussels Environment. Brussels Environment shall not be held liable for any loss or damage suffered by the Customer due to the transmission of a virus, contamination of computer services or network failure.

12.  Intellectual property

The exhibition, as well as all its components (such as logos, trademarks, domain names, titles, images, website or other content) made available by Brussels Environment are the property of Brussels Environment or have been the subject of prior authorisation for use by third parties and may be protected by intellectual property rights. The Customer is not authorised to reproduce, exploit, rebroadcast or use in any way whatsoever, even partially, the components of the exhibition, whether they be software, audio or visual.

13.   Protection of personal data

13. 1 Within the framework of the performance of the contract, Brussels Environnement processes personal data concerning the Customer (contact, data, account data, payment data, visit data) in accordance wiht the legislation in force, 13.2. The data collected is used for the following purposes:

- booking and managing the visit (see above)

- sending the visit report and a souvenir photo to an e-mail address (this will be deleted by the animator after sending)

- informing the Customer of the latest news from BELEXPO and suggesting complementary activities

- informing the Customer of the educational projects run by Brussels Environment

13.3. To these ends, contact and visitor data is retained until the Customer requests its deletion, or, at most, 24 months from the creation of a user account.

13.4 The Customer has the right to rectify and delete their personal data, as well as the right to limit or object to the processing carried out, by contacting Brussels Environment. 13.5  The Customer may also contact the Data Protection Officer at the following email address privacy@environnement.brussels and lodge a complaint with the Commission for the Protection of Privacy (35, rue de la presse - 1000 Brussels).

13.5 In addition, in the context of the order, personal data relating in particular to identity, address, telephone number, e-mail address, bank card numbers and account numbers or to transactions or payments made shall be processed by Ingenico Financial Solutions SA/NV ("Ingenico FS") for the purposes of i) performing the contract between the company and Brussels Environment (ii) monitoring and managing fraud (defining the risk levels associated with transactions, detecting and managing the resulting alerts), and (iii) complying with its legal obligations under the legislation on the fight against money laundering and the financing of terrorism, and (iv) compiling market analyses, statistics, analysing transaction data and improving the service provided by Ingenico FS.

The collection of personal data is mandatory for these purposes. Without these personal data, the transaction could be delayed or even prevented, and the order cancelled.

Please note that Ingenico FS, whose registered office is located at Boulevard de la Woluwe 102 1200 Brussels and registered under company number 886.476.763, is the data controller.

Ingenico FS will not share the Customer's personal data with third parties, except in the following two cases:

Disclosure of personal data to its affiliates, subcontractors or other parties with whom Ingenico FS has a contractual relationship and who provide services/assistance to Ingenico FS in the context of i) the performance of the contract between us and Ingenico FS, (ii) the prevention and management of fraud, (iii) compliance with Ingenico FS's legal obligations under applicable anti-money laundering and anti-terrorist financing legislation, and (iv) the provision of anonymous or aggregated data to third parties. Third parties who provide services/assistance to Ingenico FS in relation to fraud monitoring and management may incorporate your personal data into the specific databases they use to provide services on behalf of multiple Merchants to prevent and manage fraud.

If Ingenico FS is legally required to disclose certain information or documents to the National Bank of Belgium, the Financial Information Processing Unit (CTIF), similar Belgian or foreign authorities or, in general, to judicial or administrative authorities or law enforcement authorities. The disclosure of personal data to these entities will be limited to what is strictly necessary or required by applicable regulations.

In addition, in the event of fraud, some of the personal data may be recorded in a dedicated file, managed by Ingenico FS. The purpose of this file is to keep a record of past fraud, including information on the criteria used to assess the risks of transactions and the scoring models used for this purpose. The recording of the data in this file may also lead to the attribution of a higher level of risk on the occasion of any subsequent order with a Merchant who is a customer of Ingenico FS and, consequently, to the rejection of the order.

The Customer has the right to access, query and rectify their personal data, as well as the right to object to its processing for legitimate reasons. To exercise these rights, the Customer shall send a written request (by registered mail), dated and signed, to the head office of Ingenico FS (see above) or send an e-mail to privacy@fs.ingenico.com  stating their name, address and the telephone number where they can be reached during office hours and attaching a copy of both sides of their identity card or passport. The Customer may withhold data that it is not required to provide under your local law.

15.    Complaints and disputes

15.1  Any complaints about the conditions of the visit should be made at the time to the reception staff so that a solution can be found. Failing this, the visit will, by express agreement, be considered to have taken place to the Customer's satisfaction.

15.2 Any dispute relating to the performance or interpretation of the General Terms and Conditions of Sale shall fall under the exclusive jurisdiction of the courts of the judicial district of Brussels.

15.3   The General Terms and Conditions of Sale are subject to and interpreted in accordance with Belgian law.
